How to Follow Up After Applying or After an Interview
A follow up email after interview should be short, polite and well timed, and so should the one you send when an application goes quiet. Send it too soon and you look impatient. Leave it too late and the decision's already made. For most fresher roles the pattern goes like this: thank them within a day of the interview, follow up after a week or so of silence, and stop after two follow-ups.
Key takeaways
- Send a short thank-you email within 24 hours of an interview and mention something specific from the conversation.
- After applying, follow up 7 to 10 days later; after an interview with no decision date, wait about a week.
- If they gave a decision date, wait two working days after it before asking for an update.
- Stop after two follow-ups with no reply, send an optional closing note, and keep applying elsewhere.
- Reply on the same email thread and put the role and your name in the subject line every time.
Each situation below has its own timing and its own template. The names in the samples are made up.
How long to wait before following up
| Situation | When to send | What it's for |
|---|---|---|
| After applying by email or on a careers page | 7 to 10 days after applying | Confirm they got it, restate interest |
| After an interview | The same evening or next morning | Thank them, add one useful point |
| They gave a decision date and it passed | 2 working days after that date | Ask politely for an update |
| No date given after an interview | About a week after the interview | Ask politely for an update |
| Still no reply after a follow-up | Another week later | Last check, then move on |
No company publishes these rules. It's simply a pace most HR teams find reasonable. Someone hiring freshers is probably running several roles at once and losing track, so a polite nudge helps them as well.
Count working days. Skip Monday mornings and the Diwali week.
Follow up after a job application
Applied by email? Reply on the same thread, so HR sees your original message and resume right there. For a careers page or one of our Jobs listings, where you have an HR email ID, write a fresh email and attach your resume again.
Subject: Following up: Application for Trainee Analyst, Divya Menon
Dear Hiring Team,
I applied for the Trainee Analyst role on 6 October and wanted to check that my application reached you. I'm still very interested in the position.
Since applying, I've completed an Excel and Power BI certification, which matches the reporting work mentioned in the job post. My resume is attached again for convenience.

You can drop the middle paragraph. But if you have something new, like a certificate or final results, put it there, because it gives HR a reason to look again. Was your first email weak? Fix that before you follow up. The guide on how to email your resume to HR covers subject lines and attachments.
Thank you email after interview
This one goes out within 24 hours, to your interviewer or to the HR contact who set up the interview. Mention something specific from the conversation, or it'll read like a form letter.
Subject: Thank you: Customer Success Associate interview, Aman Gupta
Dear Ms Fernandes,
Thank you for taking the time to speak with me this morning about the Customer Success Associate role. I enjoyed hearing how your team handles onboarding for new school clients, and it made me more keen on the position.
You asked how I'd deal with a client who keeps missing training sessions. I mentioned rescheduling, but I'd also send a short recorded walkthrough so they aren't held up in the meantime.
Thank you again, and I look forward to hearing from you.
Regards, Aman Gupta
Thought of a better answer on the way home? The second paragraph is the polite place to add it, and only one point. Struggled with the opening question instead? the guide on answering tell me about yourself as a fresher is worth a read before your next round.
After a panel interview, send one email to the HR contact thanking the panel. Emailing each person separately isn't necessary.
Follow up email after interview with no response
Their date has passed, or a week has gone by with nothing. Send this on the same thread as your thank-you email.
Subject: Re: Thank you: Customer Success Associate interview, Aman Gupta
Dear Ms Fernandes,
I hope you're well. I'm writing to ask whether there's any update on the Customer Success Associate role. I interviewed on 9 October and remain very interested.
If you need anything more from me, such as references or documents, I'd be happy to send them.
Regards, Aman Gupta +91 97XXX XXXXX
Don't ask "Have I been selected?" and don't mention other offers unless you really have one with a deadline. If you do, say so plainly and give the date: "I've received an offer from another company and need to respond by 24 October. I'd prefer to join your team, so I wanted to ask whether a decision is likely before then." It's honest, and you can send it.
When to stop following up
Two follow-ups with no reply is where you stop. By then the role has most likely gone to someone else or been put on hold, and nobody told you. More emails won't change that, and they can put a recruiter off you later.
If you want, close the loop with one short final note. It's optional.
Subject: Re: Trainee Analyst application, Divya Menon
Dear Hiring Team,
I understand the role may have moved forward. Thank you for considering my application, and I'd be glad to be kept in mind for future openings.
Regards, Divya Menon
Then stop. Messaging the interviewer on LinkedIn about the result, or ringing reception, is a bad idea.
A few things that go wrong
Write from the email address you applied with, or HR has to search twice. Following up on WhatsApp when nobody gave you that number feels intrusive, even if you found it online. And a follow-up that only says "Any update?" with no name or role in it forces HR to dig through their inbox to work out who you are. Put the role and your name in the subject line every time.
Your next step
Open a sheet today and log every application with the company, role, date applied, interview date and when your next follow-up is due. Check it once a week and send whatever's due. Keep applying while you wait, since sitting on one company is the slowest way to get a job.
You'll find the next one to apply for in our Jobs listings.
Frequently asked questions
How long should I wait to follow up after an interview?
Send a short thank-you email the same day or the next morning. If they gave you a date for a decision, wait until two working days after it before following up. If they gave no date, wait about a week.
Is it okay to call HR instead of emailing?
Email first. A call is fine only if HR has called you before or told you to ring them. Keep it brief, and follow the call with a one-line email so there is a written record.
How many times can I follow up without being annoying?
Two follow-ups after the first application or thank-you email is a sensible limit. After that, send one polite closing note if you like, and put your energy into other applications.
Does a thank-you email after an interview really make a difference?
It won't rescue a weak interview, but it's a courtesy that interviewers notice, and it puts your name in front of them again while they're deciding. It costs you five minutes.
