How to Email Your Resume to HR: Subject Lines and Templates
Four things decide whether an emailed resume gets read: a subject line that says exactly what the email is, a body of five to eight lines, a PDF with a sensible file name, and a professional address to send it from. Most of how to send resume to HR comes down to getting those four right and keeping the whole thing short. There are four templates further down that you can copy.
Key takeaways
- A clear subject line, a five to eight line body, a well-named PDF and a professional address decide whether HR reads it.
- Put the role, your name and any job code from the post in the subject line.
- Name the file with your name and the word resume, send a PDF and keep it under 1 MB.
- Mention a referrer only after they agree, and send each email separately, never with many HR addresses in To or CC.
- Follow up once after about a week, and leave it there.
How to send resume to HR: the basics before you write
Start with your own email address. "rockstar.sid99@..." won't do. Make one with your name in it, firstname.lastname or close to it, and keep it for applications only.
Then work out where the email should go. When a job post gives an email ID, use that exact address; many posts in our Jobs listings name one. Writing to a company that hasn't advertised anything is a cold email, and that's a different exercise. The guide on how to cold email a company for an internship walks through it, and most of it works for jobs as well.
Use a laptop if you have one. On a phone mail app it's far too easy to hit send without the attachment.
Subject line for job application email
HR inboxes are full, and the subject line decides whether yours gets opened at all. Name the role and yourself, and add anything the post told you to include.
Use one of these formats:
| Situation | Subject line format |
|---|---|
| Responding to a job post | Application for [Role] ([Job code]): [Your name], [Degree, year] |
| No job code given | Application for [Role]: [Your name], Fresher, [City] |
| Someone referred you | Referred by [Name] for [Role]: [Your name] |
| HR asked you to send it | Resume as requested: [Your name], [Role] |
Two filled-in examples:
- Application for Graduate Engineer Trainee (GET-27): Rahul Verma, BTech Mechanical 2026
- Application for Accounts Assistant: Fathima Shaikh, BCom Fresher, Nagpur
Vague subjects like "Resume", "Job" or "Looking for opportunity" get skipped. A blank subject line is worse.
How to name your resume file
Nobody can find resume_final_v3.pdf in a folder full of other people's resume.pdf. Put your name and the word resume in it instead:
Rahul_Verma_Resume.pdf
Applying for very different jobs? Add the role: Rahul_Verma_Resume_GET.pdf. Send a PDF unless the company asks for Word, keep it under 1 MB, and open it on your own phone once to be sure it works. If what you have now is a cramped Word document, rebuild it from one of our CV templates before you send anything.
What to write in the email body
Plenty of HR people read applications on their phones, so stop at five to eight lines. Put them in this order:
- Greeting: "Dear Ms Iyer" if you know the name, "Dear Hiring Team" if you don't.
- First line: the role you're applying for and where you saw it.
- Two or three lines: your degree and year, plus one or two relevant facts from your resume.
- Closing line: say your resume is attached and you're available for an interview.
- Signature: full name, phone number, LinkedIn URL if you have a decent profile.
Save the longer cover letter for an attachment, and send one only when the post asks for it.

My portfolio of college fest posters and social media designs is linked in the resume.
Regards, Sana Qureshi +91 98XXX XXXXX
Keep this one short. HR already knows who you are.
What not to do
Some habits get an email deleted before anyone opens the attachment:
- sending an empty email with only the attachment
- putting ten HR addresses in the To or CC field so everyone can see them
- writing "PFA" and nothing else
- forgetting the attachment, then sending "sorry, forgot" two minutes later
- sending the same email again the next day because nobody replied
Heard nothing after a week or so? Send one polite follow-up, and leave it there. The guide on how to follow up after applying gives you the timing and a template.
Your next step
Choose one opening, write its subject line from the table above, rename your file and send the email today.
When you need a role to apply for or a cleaner resume, our Jobs listings and CV templates are there.
Frequently asked questions
What should I write in the subject line when sending my resume?
The role, your name and one detail that helps HR sort it, such as the job code or "Fresher". For example: "Application for Junior Data Analyst (Ref DA-114): Priya Nair, BSc Statistics 2026".
Should I send my resume as a PDF or Word file?
PDF, unless the company specifically asks for Word. A PDF looks the same on every phone and laptop, and your formatting won't break.
Can I send my resume to HR on WhatsApp?
Only if the HR person gave you their number and asked you to send it there. Otherwise use email. If you do, send one short, polite message with the PDF.
Is it okay to send the same email to many HRs at once?
No. Never put several HR addresses in the To or CC field. Send each email separately, with the company and role named, even if most of the text is the same.
